Rösthantverkarna is committed to protecting your privacy. This Privacy Policy explains how we process personal data when you use Ljudverkstan, place an order, request a quote, participate in a production, or otherwise interact with us.
1. Data Controller
Rösthantverkarna is the data controller responsible for the processing of personal data within Ljudverkstan and our other business activities.

2. Personal Data We Process
Depending on how you interact with us, we may process information such as:

- information about productions, titles, scripts and deliveries
- information about voice actors, narrators and other participants

We only process information that is necessary to administer our contacts, orders and productions and to fulfil our obligations.
3. Why We Process Personal Data
We process personal data in order to:
- receive and manage orders and quote requests
- plan, administer and carry out productions
- communicate with clients, suppliers and participants
- manage scripts, production materials and deliveries
- administer agreements and financial documentation
- manage user permissions for people with access to our internal systems
- maintain security, troubleshoot and administer our systems
- comply with legal obligations, such as accounting requirements
Depending on the circumstances, the legal basis for processing may be the performance of a contract, taking steps prior to entering into a contract, compliance with a legal obligation, or our legitimate interest in operating and administering our business.
4. Ljudverkstan and AI
Ljudverkstan does not use artificial intelligence to process clients' personal data, scripts or audio files.
Scripts and audio material are not sent to AI services for analysis, transcription, summarisation or automated decision-making.
We also do not use automated decision-making or AI-based profiling to assess clients, voice actors, narrators or other individuals.
5. Storage of Files and Production Materials
Scripts, audio files and other production materials are primarily handled within our file infrastructure provided by Infomaniak.
Links and technical information required to connect materials to the correct production may be stored in Ljudverkstan's administrative systems.
We aim to limit the storage of personal data and production materials to what is necessary for the relevant purpose.
6. Email and Communications
Automated business emails from Ljudverkstan, such as order confirmations, quote notifications and delivery notifications, are sent through our email infrastructure provided by Infomaniak.
Emails may contain information necessary for the relevant communication, such as names, companies, titles, ISBNs, order numbers, references and delivery information.
7. Röstlaget
Röstlaget is Rösthantverkarna's register of professional voices who may be considered for casting and voice assignments.
For individuals included in Röstlaget, we may process information such as:
- name and contact details
- professional experience and skills
- languages and voice characteristics
- voice samples and demos
- other information required for casting and administration
The information is used to administer Röstlaget, identify suitable voices for assignments and contact individuals about relevant productions.
The processing is primarily based on our legitimate interest in maintaining a professional voice register and conducting casting activities. When a specific assignment is agreed, processing may also be necessary in order to enter into or perform a contract.
Applying to Röstlaget
When you apply to Röstlaget, we process the information you provide in order to administer and assess your application, contact you, and determine whether you may be suitable for future voice assignments.
If you provide voice samples, these are processed as part of your application.
Information about applicants is retained for as long as it is considered relevant to the activities of Röstlaget. We regularly review the register and delete information that is no longer needed.
Voice Samples
Voice samples constitute personal data when they can be linked to an identifiable individual.
We use voice samples to assess characteristics such as voice quality, language, expression and suitability for different voice assignments. We do not use voice samples for biometric identification or authentication.
8. Service Providers
We use external technology service providers to operate our digital services. These providers may process personal data on our behalf where necessary to provide services such as:
- hosting and data storage
- authentication and access management
- file management
- calendar and communication services
- technical security and system administration
We use, among other services, Infomaniak for email, calendar and file management, as well as external hosting and infrastructure services for parts of Ljudverkstan's technical operation.
We select services with consideration for security and data protection and limit the information processed to what is necessary for each service.
9. Transfers of Personal Data
We aim to have personal data processed within the EU/EEA or in countries whose level of data protection is recognised under applicable data protection legislation.
If a service provider or subprocessor processes personal data outside the EU/EEA, the transfer must be covered by an applicable legal transfer mechanism and appropriate safeguards.
10. How Long Do We Keep Personal Data?
We retain personal data for as long as it is necessary for the purpose for which it was collected.
Information relating to client relationships and productions may need to be retained for longer periods for administrative purposes, production history, contractual matters, legal requirements or accounting.
Information about individuals in Röstlaget is retained for as long as the information remains relevant to the purposes of the register. We regularly review the register and delete information that is no longer needed.
Information that is no longer required will be deleted or anonymised where appropriate.
11. Security
We use technical and organisational security measures to protect personal data against unauthorised access, loss, alteration and unauthorised disclosure.
Access to Ljudverkstan's internal functions is restricted to authorised users. Authentication and access permissions are used to control access to administrative information.
Production files and other business-critical information are handled separately from the portal's public functions where appropriate.
12. Sharing Personal Data
We do not sell personal data.
Personal data is only disclosed when necessary for our business operations, when a service provider needs to process information on our behalf, or when we are legally required to disclose information.
In connection with a production, relevant information may also need to be shared with voice actors, narrators, technicians or other participants in order to carry out the production.

Under the General Data Protection Regulation (GDPR), depending on the circumstances, you may have the right to:

- request correction of inaccurate information
- request deletion of your personal data
